Brethren Village Retirement Community, in Lititz, PA, is seeking a full-time Medical Records Associate and Scheduler. The successful applicant will be able to work effectively and independently with computerized databases and apps; interact in a professional and friendly manner with colleagues; remain organized in a fast-paced work environment; complete work in a timely and accurate manner. High attention to detail and accuracy with work is essential.

The Medical Records Associate and Scheduler creates, updates, audits, and maintains accurate medical records for Residents and patients in the 120-bed Skilled Nursing Facility and 20-bed Short Term Rehab. Center, according to Brethren Village policy and relevant regulations. Knowledge of Point-Click-Care software (or ability to learn), medical terminology, and ICD codes is required.

The Medical Records Associate and Scheduler also plays a key role within our Skilled Nursing Facility and Short Term Rehab. Center to develop master work schedules and to schedule Nurses and C.N.A.’s; review and manage time-off requests; carefully review and approve time sheets; track data pertaining to hours worked and prepare reports.

Primary Responsibilities Include:

Creating, updating, and maintaining electronic medical records and/or hard copy charts for Brethren Village Residents and other patients in our 120-bed Skilled Nursing Facility and 20-bed Short Term Rehab. Center. Maintaining records pertaining to Resident / patient admissions, re-admissions, and discharges.
Auditing charts for accuracy and completeness.
Using Point-Click-Care software to complete work.
Accurately maintaining other records, files, databases, and charts.
Tracking information, compiling data, preparing reports, and completing surveys.
Developing, entering, updating, and maintaining work schedules for Nurses and C.N.A.’s in a Kronos computerized scheduling system.
Reaching out to Nurses and C.N.A.’s in order to fill vacant shifts as needed, to ensure proper coverage on each shift.
Contacting and scheduling “agency staff” when needed, working directly with staffing agencies.
Proactively working with the Directors of Nursing to resolve staffing issues.
Tracking vacant positions and communicating hiring needs.
Accurately tracking and applying certain incentives, adhering to Brethren Village policy.
Tracking absences.
Reviewing and acting upon requests for time-off from Nurses and C.N.A.’s.
Carefully verifying the accuracy of work hours and paid-time-off, and approving time sheets each pay period using the Kronos time and attendance system.
Completing all work in accordance with Brethren Village policy, HIPAA regulations, and other relevant state and federal regulations.

Typical Work Schedule:

Full-time: 8:00 a.m. – 4:30 p.m. (or similar hours), Monday through Friday, with occasional evening and weekend hours


full vaccination against COVID-19 is required, per federal regulations
a high school diploma or G.E.D.
at least 2 years of related work experience in the medical records field, or successful completion of formal training in medical records management
at least 2 years of experience as an administrative professional
experience as a nursing scheduler, payroll coordinator, or administrative assistant in a healthcare setting desired
thorough understanding of HIPAA regulations; a commitment to handling confidential and sensitive information in a discreet and professional manner
knowledge of medical terminology and records management; knowledge of ICD codes
experience and comfort using computer databases and other software and applications; Point-Click-Care and/or Kronos experience desired
high attention to detail and accuracy with work; the ability to accurately enter data on records, in files, and in databases in a timely manner
the proven ability to keep work organized in a fast-paced environment
effective interpersonal and communication skills
the ability and willingness to interact in a helpful, productive, and professional manner with colleagues
